Award and Parchment

Collection of Award Parchment by RPg Graduates Admitted in or before the 2017/18 Cohort 

 

For students with graduation status confirmed on or before 15 March 2021 within the 2020/21 academic year, your award parchments will be available for collection with details listed below:

Normal Arrangement 
10 to 30 April 2021 Monday to Friday  9:00 a.m. to 12:45 p.m. and 2:15 p.m. to 5:20 p.m.
Special Arrangement
10 & 17 April 2021 Saturday  9:00 a.m. to 12:00 p.m.
Venue Room Z404, 4/F, Block Z, PolyU

Collection in Person

Please bring along:

1. your Hong Kong Identity (HKID) Card / Passport / Mainland ID Card which should tally with the record you registered with PolyU ; AND
2(a). your PolyU Student ID card to facilitate your access to the campus*; OR
2(b). the email on award parchment collection (either in hardcopy / softcopy / mobile version) to facilitate the campus access*.

Collection by Authorised Person

The authorised person must produce the following documents:

1. an authorisation letter duly signed by you. The letter should state clearly the name and the HKID Card# number of the authorised person; AND
2. photocopy of your HKID Card / Passport / Mainland ID Card which should tally with the record you registered with PolyU ; AND
3. the HKID Card# of the authorised person; AND
4. the email on award parchment collection (either in hardcopy / softcopy / mobile version) to facilitate the campus access*.

[*: For security concern, the access to PolyU campus is currently restricted to limited users only.  You are reminded to bring ALL the required documents for award parchment collection, failing to do so may result in a delayed or even denied campus access.  You are advised to use the entrance at Core A (the fountain area) or Core P / Core D (the footbridge connecting Hunghom MTR Exit A1 / D1)]

 

The Academic Council has made a decision on the arrangement for the issuance of award parchments for 2014/15 and onwards. Under this arrangement, PolyU award parchments will be issued twice a year with cut-off dates set on 15 March and 30 September every year.

For the 2020/21 academic year, the following arrangement is made:

Students wishing to be presented their award in person in the Main Session of the 27th Congregation (for PhD students) or in the Faculty/School Session (for MPhil students) will need to have completed all the degree requirements and to submit all necessary documents to the GS by 24 August 2021. The latest meeting of the GSB at which PhD and MPhil awards for 2020/21 will be approved is tentatively scheduled for 15 September 2021.

FAQ

The official University graduation award parchments are not available in softcopy/electronic format for data security concern and for protection from any possible forgery use/hack during the transmission of data.  Therefore, we are sorry that your request cannot be acceded to.

We are afraid that, by legitimacy, the award parchments would only be available upon the start of the official collection period in respective round. Any request for early collection of award parchment would not be entertained.

You are strongly advised to get your award parchment through an authorized person of your designation and ensure the safe-keeping of your parchment. However, if you foresee any difficulty in designating someone for this role, please send your request to gs.enquiry@polyu.edu.hk. Please note that this special arrangement may put your award parchment at risk from being lost or damaged. Thus, you are required to confirm the following undertaking:

 

- You understand this special arrangement may put your award parchment at risk from being lost or damaged;

- You understand that the University will under no circumstances issue any duplicate or replacement;

- You agree to pay the postage.
