1. Standard Term Licence Agreement –
Joint University Computing Centre (JUCC) has issued joint tender for the period from 8 May 2026 - 7 May 2029 on behalf of institutions on Google Gemini Enterprise for Education. All UGC institutions including JUCC affiliate members can subscribe to Google Gemini Enterprise for Education at discount rate.
Google Gemini Enterprise for Education subscription includes access to Gemini Notebook (formerly NotebookLM), with capabilities such as intelligent note-taking, source synthesis, and document analysis.
2. Subscription Terms and Pricing
All licenses under this programme are subscription-based and require a minimum subscription period of 12 months. Subscriptions are managed on a tiered volume model pooled across participating JUCC institutions:

3. Tender Procurement & Subscription Arrangement
Departments may subscribe directly through the appointed reseller of Gemini Enterprise for Education according to the University’s purchase requisition procedure.

4. License Management and Assignment
Upon successful issuance of the Purchase Order (PO), departmental users are responsible for managing their acquired licenses. Designated administrators must log in to the administrator portal to allocate licenses to their staff or faculty:

5. Important Procurement Compliance for Departments
Departments wishing to acquire these Google AI software licenses must follow the standard university purchasing procedures. Before raising a purchase requisition or issuing a purchase order to the Finance Office, please ensure strict adherence to the PolyU Finance Office Policies:
