Various promotional events and performance are held on the university campus by its departments and offices every year. They can be small-scale events like promotional banners and exhibition booths up to large-scale events such as campus-wide InfoDay or games days with the participation of staff, students, guests and/or the public.

It is the responsibility of the event organizers, event contractors, Facilities Management Office (FMO) and Health, Safety and Environment Office (HSEO) to ensure that such events, their set-ups and clearance are done safely.

To accomplish this, the following arrangements are in place.

  • Establish a Health & Safety Guideline for Campus Events for event organizers and contractors to follow (by HSEO);
  • Approve campus event applications submitted by event organizers through its FMO Venue Booking System (by FMO);
  • Give safety comments on the event layouts submitted by event organizers (by FMO & HSEO);
  • Deliver safety briefings to departments, offices and contractors involving events with large-scale set-ups (by HSEO);
  • Fill in Campus Event Risk Assessment Forms (by organizers);
  • Comment on Risk Assessment Forms (by HSEO);
  • Monitor events and contractor works and ensure that they comply with the requirements stated in the Guideline and Risk Assessment Form (by organizers);
  • Check the site during various stages of an event and request for rectification of unsafe conditions and behavior (by FMO & HSEO); and
  • Review event safety performance after large-scale events are done (by FMO, HSEO & organizers).
