University Research Facility Management System (URFMS)   A common platform for equipment booking with features to exhibit the research facilities and enable internal and external research communities to explore research collaboration opportunities. Single User Profile: Centralized booking via personal NetID to access all facilities. Simplified Fee Collection Process: Fund commitment, and automatic bill settlement with the FO system. Flexible Fund Allocation: Researchers' control on fund allocation and quotas for team members. Equipment Access Control: Additional hardware to manage power on/off for booked equipment. Comprehensive Admin Features: Flexibility for facilities/laboratories to define products, pricing models, available schedules, and access lists. New Features: A non-billable model for equipment with no booking fee. Chemical Management System (CMS)   Management of chemical inventory and procurement processes across the University. Streamlined Approval Workflows: From chemical orders to disposal, saving time and reducing administrative overhead. Legal Compliance: Supports the University in complying with regulations for dangerous goods.   Research Safety Approval System (RSAS)   Support of the approval process for research projects involving potential safety issues in chemical, biological, and ionizing/non-ionizing radiation areas. LEARN@PolyU (理學網) & MS Teams aged course material housekeeping

To: All Students   From: Information Technology Services Office             Date: 28 August 2024        Subject: LEARN@PolyU (理學網) & MS Teams aged course material housekeeping     Dear Students   To ensure compliance with the copyright law, the prevailing retention period for course materials uploaded to the LEARN@PolyU (理學網) & MS Teams platform will not be stored over 12 months.   Course content associated with Semester 1 in the 2023/24 academic year, will be removed from the LEARN@PolyU (理學網) and MS Teams platforms on or after 14 September 2024. (All staff) PolyUWLAN Wi-Fi Security Certificate Refresh

To: Staff From: Information Technology Services Office             Date:  12 August 2024             Subject: PolyUWLAN Wi-Fi Security Certificate Refresh      Dear Colleagues     The annual Wi-Fi security certificate refresh for PolyU will take place at 6pm on Monday, 12 August 2024.   After the refresh the first time you connect to the PolyU Wi-Fi network, you will receive a prompt from the operating system of your smartphone or Windows notebook.   Please click on 'Trust' or 'Connect' to proceed with the PolyUWLAN Wi-Fi connection.   Once the new certificate has been accepted by your device's operating system, you will not be prompted with the same message again.   For iPhone users:   For Windows users:   For Android users: The behavior of Android devices can vary. Resumption of campus face-to-face teaching and discontinuation of Cloud Express II Service for Mainland-based students

(All staff) Using PolyU Staff Mobile App QR code to enter campus

To: All Colleagues From: Information Technology Services Office             Date:  19 August 2024             Subject: Using PolyU Staff Mobile App QR code to enter campus        Effective from 1 September 2024, besides using a staff ID card, colleagues can leverage the latest version of the PolyU Staff Mobile App (v1.3) which includes biometric authentication and a campus access QR code function to facilitate entering campus via the main entrances listed below: Block L and P main entrance turnstiles with optical reader Block A G/F, Block D podium level and Block Y G/F and podium level main entrance portable optical reader Block X-Z footbridge portable optical reader   The time-based QR code generated by the PolyU Staff Mobile App will include encrypted identifier information from your staff ID card.  Your physical staff ID card and the new time-based QR code can be used interchangeably to enter campus via the above main entrances.   The PolyU Staff Mobile App v1.3 is now available for download on both the App Store and Google Play. PolyU Staff Mobile App v1.3 requires a mobile device with iOS 14 or higher, or Android 11 or higher, to ensure smooth operation.  To use the biometric function for authentication, the mobile device must support and have biometric features enabled.       Please refer to the PolyU Staff Mobile App User Guide for details on first -time registration for using biometric authentication, such as Face ID or Touch ID for logging into the PolyU Staff Mobile App.   In addition to entering campus via the main entrances, the Library and Sports facilities’ main entrance turnstiles with optical readers will also support the use of the PolyU Staff Mobile App QR code, as well as the staff ID card.   Should you need further information on the PolyU Staff Mobile App, please contact the IT HelpCentre (Tel: 2766 5900, WhatsApp / WeChat: 6577 9669) or reach out to us via the IT Online ServiceDesk.                     Information Technology Services Office

Using PolyULife student mobile app campus access QR code to enter campus
