Best practices for sharing content uploaded to OneDrive folder

On Office 365 Cloud for staff and students, users are able to share content uploaded to Office 365 OneDrive for Business folder with staff or students holding login account on @polyu.edu.hk and @connect.polyu.hk domain respectively as well as with external parties. Below are some best practices you need to know before sharing your personal OneDrive for Business folder on Office 365 Cloud with others.

  1. If you want to limit the content uploaded to personal OneDrive for Business folder being all visible to others, it is better not to share the folder link to anyone but only grant access rights to target staff or students only (people chosen by you).
  2. If you need to grant “Share the link with anyone” for sharing the content to anyone, say for promotion material intended for general public and internal staff / students, here are some suggestions for you:
    • Set an expiration date so that the content on OneDrive for Business folder will only be accessible by others within a limited time period of the promotion campaign.
    • Assign a strong password to open specific document which is not intended for all and separately send the password to target staff or students to gain access.

    • Click “Remove link” to stop file sharing when it is not necessary to share the file anymore.
