Health and Safety Resources Available
At PolyU, we are committed to maintaining a safe and healthy work environment by ensuring all team members have access to essential health and safety resources. Here’s a look at the latest updates and support available:
Support for Head of Units & Departmental Health and Safety Officers
To equip newly appointed Heads of Units (HoUs) and Departmental Health and Safety Officers (DHSOs) with the knowledge and tools they need, we’ve developed a comprehensive self-study training resource pack. This pack will be distributed upon appointment and refreshed every six months to ensure up-to-date safety awareness.
Fire Safety Training for Newly Appointed Fire Wardens
Fire safety remains a top priority. All newly appointed Fire Wardens (FWs) will be invited to complete an online fire safety training programme upon nomination by their unit. This ensures they are well-prepared to manage fire safety protocols effectively.

Ensuring Safety at Campus Events
Following a recent near-miss involving a toppled photo prop, we’ve strengthened safety measures for tall structures (2 to 3.5 meters), such as:
- Exhibition booths
- Light trusses
- Large speaker stands
- Display props
Event organizers are reminded to:
- Review the Campus Event Safety Rules and complete the Campus Event Risk Assessment Form
- Submit design and securing details of tall objects to the Campus Facilities and Sustainability Office (CFSO) and Health and Safety Office (HSO)
- Ensure contractors follow safety rules and feedback from CFSO and HSO
- Coordinate with CFSO and HSO for a joint stability check of tall objects
For more details, visit the Campus Event Safety page.

Updated Reporting Timeline for Accidents and Incidents
To streamline reporting, the timeline for submitting accident and incident reports has been adjusted. Departments must now submit the e-Accident Report Form to HSO within 3 working days after:
(i) receiving notification of the accident/ incident from the concerned staff/ student, or
(ii) the relevant department becomes aware of the accident/ incident.
DHSOs should notify HSO promptly and prepare the report for approval by their Head.

Guidelines on Licence/ Permit Application for Controlled Chemicals
The new Guidelines on Licence Permit Application for Controlled Chemicals provide step-by-step instructions for:
- Purchasing
- Possessing
- Storing
- Using controlled chemicals at PolyU
If in doubt, please consult the HSO for guidance.
