Security tips on using cloud-based video conferencing tools

To ensure confidentiality & privacy of online meeting hosted via public Cloud based video conferencing (VC) tools like Microsoft Teams or Zoom, please refer to below best practice when scheduling the online meeting.

 

1 Always use the latest version of VC tool client software
Whether you host or join VC meeting using VC tool desktop client or mobile app, make sure you are using the latest version of software for better user experience and inclusion of latest security patch.
2 Make your meeting private
Set a password for the meeting whenever available. Only send the meeting link and the corresponding password to intended invitees.
For internal meeting, limit participants to authenticated users or users within own organization only.
3 Do not share meeting links on social media posts
Hackers are constantly scanning for meeting links posted on Internet for potential targets to hack in.
4 Limit what information you share via online meeting
To prevent information leakage, do not share sensitive information such as internal confidential information via online meeting. Use password to protect the sensitive document before sending via email to the need-to-know users. Send two different messages: one with password protected document as an attachment, another with password information.
