  • Graduates could access the campus by applying for a QR Code via the ‘Alumni Campus Access Registration’ system with their Alumni NetID (which is converted automatically from their original Student NetID).  You can also apply this QR Code for your representative if you plan to have your award parchment collected through authorisation.

    In any case, you are welcome to approach the Information Counter at the entrances of Core A/Core P should you have any queries about campus access.  

 

Collection of Academic Award Parchment - For Programmes Delivered in Hong Kong

  • If you are a graduate in the 2023/24 academic year with 15 March 2024 as the award date, you can obtain your award parchment in the following ways, no application is required. 

Electronic version:  Available already on ACVP.hk.  A separate email notification has already been arranged to the graduate's PolyU Connect account.

Paper version:  Available already for collection either in person/by representative from the Academic Registry Service Centre (M101) or by courier.

  • For graduates in the previous exercises, if your award parchment is still left uncollected, you are advised to collect it as soon as possible, no application is required. 

Electronic version (for graduates of 2021 to 2023):  Readily available on ACVP.hk unless you have any outstanding issues with the University.

Paper version:  Available at the Academic Registry Service Centre at M101 during its opening hours. Please click here for details.

Note: The paper award parchments are retained for one year and, if uncollected, they may be destroyed without further notice.


Collection in Person

Please bring along:

1

your Hong Kong Identity (HKID) Card / Passport / Mainland ID Card which should tally with the record you registered with PolyU (for graduates from Mainland China, Mainland ID is a MUST); AND

the email / SMS notice on award parchment collection (either in hardcopy / softcopy / mobile version) to facilitate the campus access* 

 

Collection by Representative@

The representative must produce the following documents:

1 an authorisation letter duly signed by you. The letter should state clearly the name and the HKID Card / Passport / Mainland ID Card number of your own and the representative; AND
2 photocopy of your HKID Card / Passport / Mainland ID Card which should tally with the record you registered with PolyU (for graduates from Mainland China, Mainland ID is a MUST); AND
3 the HKID Card / Passport / Mainland ID Card of the representative; AND
4 the email / SMS notice on award parchment collection (either in hardcopy / softcopy / mobile version) to facilitate the campus access*

[* You are subject to the latest campus access policy as stated in ‘Special Note’ at the top of this page, especially if you do not keep these notices anymore. You are reminded to bring ALL the required documents for award parchment collection, failing to do so may result in delayed or even denied campus access.]

[@ On fairness and efficiency grounds, at most 3 cases at a time could be handled for each representative. The Academic Registry may adjust the number based on the actual queuing situation without prior notice.]

Note (1): Previous experiences show that queuing will take longer time especially at peak hours (i.e. the first & last hours of the service time).  Waiting queue, if any, will stop 15 minutes before the closing time of our collection counters.

Note (2): The award parchment is in A4 size from 2023 onwards and in A3 before 2023. For better protection, a paper envelope with cardboard will be provided upon collection. You are advised to bring a suitable carrying bag for your convenience.

Note (3): The University does not bear the responsibility for any loss or damages to the award parchment during the delivery by post/courier service.

You are strongly advised to confirm the opening hours on special dates through the enquiry hotline (852) 2333 0600 prior to your collection. You may also call this hotline to reconfirm the opening of collection counter in case of bad weather (i.e. Typhoon Signal No. 8 or above or Black Rainstorm Warning is hoisted).

  • To safeguard your interest, the award parchment will only be given to a representative upon the presentation of ALL the above documents. We regret that we will not be able to entertain any requests if any of the above is missing.
  • You are strongly advised to ensure the safe-keeping of your parchment. The University will under no circumstances issue any duplicate or replacement.
  • The University reserves the right to withhold the issuance (or retract) of an award parchment or any certification of study in case a student has unsettled matters with the University, or is subject to disciplinary action.
