Summer Exchange

The Summer Exchange Programme offers PolyU undergraduate students to spend a summer at one of our partner institutions in a different country. Please click here to see a list of available destinations for Summer Exchange 2019.

All full-time PolyU undergraduate students in UGC-funded programmes, except final-year students, in any faculty/school are welcomed to join the Summer Exchange Programme.

When & How to apply

1. Complete Online Application Form

You are required to complete the Summer Exchange Online Application Form by 11:59PM, 14 January 2019. To complete the Online Application Form, you need to submit a 150 words personal statement so please prepare in advance. Late / incomplete application will not be processed.

You can choose 1-5 preferred choices of exchange institutions and it is your responsibility to ensure the chosen host institutions have the appropriate programmes, subjects and credit transferability to fulfill your degree requirements at PolyU. Please check with your academic department if you have any concerns. 

2. Interview for successful applicants

You will be informed by email to sign up for an interview slot between 17-18 January 2019. Interview with the International Affairs Office will be taken place from 23 January to 25 January 2019, please make sure you will be available during the interview period. Details of the interview process will be sent to successful applicants by email. 

3. Offer announcement and confirmation

IAO will announce offer results to students via email in early February.  Students should confirm their offer by the offer acceptance deadline.  Upon students’ confirmation, IAO will send out confirmation email and nominate you to partner institution. Once you have received your confirmation of nomination, you can start preparing for the application to your host institution. You must submit your application to host institution by application deadline.  If host institution requires you to submit your application via home university, you should submit a complete set of documents to IAO at least two weeks before the application deadline.  Late submission will jeopardise your submission.


As an exchange student, your summer tuition fee is waived. When you prepare your financial budget for your exchange, please bear in mind that you need to include the following, but not limited, to your budget.

  • Return flight ticket
  • Accommodation
  • Visa application fee
  • Insurance
  • Daily expenses (meals, laundry, etc.)
  • Books and stationeries

Since the estimates of the above items vary from country to country, or even among cities, please check the host institutions’ website or refer to the fact sheet, if available.

Financial Assistance

You can receive a range of financial assistance for participating in the Summer Exchange. Eligibility and amount vary across destination and duration.

Your faculty/school/department may also offer scholarships to eligible students to help cover some of the expenses such as flights, accommodation or living. Please check with your faculty/school/department or Centre STARS for further details.

IAO Funding for International Exchange

IAO Funding for International Exchange provides financial assistance to students who participate in Summer Exchange fulfilling the following conditions:

  • The exchange is organized in collaboration with PolyU's student exchange partner universities

  • The exchange does not require students to pay tuition fee or placement fee to the host institution

  • The exchange must be credit-transferrable

  • The summer exchange programme should last for at least 4 weeks

You are eligible to apply if:

  • You are a full time UGC-funded degree seeking undergraduate students (both local and non-local) participating in the PolyU International Student Exchange
  • You have never applied for the IAO funding for International Exchange before in your entire undergraduate study (each student can only apply once during their undergraduate study)
  • You have attended all briefing sessions as required by IAO before departure

Government Subsidy
Sponsored by Education Bureau, read below for eligibility:
Means-tested Schemes
  • You are a local student with a Hong Kong Identity Card and enrolled in full-time undergraduate programme
  • You are a recipient of grant under the Tertiary Student Finance Scheme – Publicly-funded Programmes by Student Finance Office; OR
    Your family member is a recipient of the Comprehensive Social Security Assistance (CSSA)
1. Scheme for Subsidy on Exchange (SSE)
  • You participate in an International Exchange for 4 weeks or more in Semester 1 and/ or 2
  • You are eligible for SSE once throughout your undergraduate studies
2. Scheme for Means-tested Subsidy on Exchange to "Belt and Road" Regions (Means-tested SSEBR)
  • You participate in an International Exchange in a "Belt and Road" Regions (except Chinese mainland, Taiwan and Macau) for 4 weeks or more in Semester 1 and/or 2
  • You are eligible for Means-tested SSEBR twice at most at two different "Belt and Road" regions, subject to maximum amount of subsidy to be received, i.e. HK$60,000, discounted by your level of student finance approved by SFO.
Non-means-tested Scheme
Non-means-tested Subsidies on Exchange to "Belt and "Road" Regions (Non-means-tested SSEBR)
  • You are a local student with a Hong Kong Identity Card and enrolled in full-time undergraduate programme.
  • You participate in an International Exchange in any "Belt and Road" Region except Chinese mainland, Taiwan and Macau.
  • You are eligible for Non-means-tested SSEBR once throughout your undergraduate studies.

The amount of Government Subsidy is calculated by applying the approved level of student finance to the maximum level of subsidy based on the latest available application result from Student Finance Office (SFO).

Special Remarks

You must declare to IAO if you receive sponsorship(s) from other source(s). You are required to provide related document(s) of the sponsorship(s) you receive.

PolyU reserves the right to withhold the payment of IAO Funding for International Exchange/ Government Subsidy (formerly known as EDB Subsidy) if you do not declare other funding / sponsorship received (whether it is received before or after the approval of your application).

As a PolyU exchange student, you are required to fulfill below obligations:

  • Be a PolyU Ambassador and help promote exchange opportunities at PolyU to students of your host university
  • Submit a post-exchange testimonial together with a summary of expenses incurred for your exchange, photos and 60s video to IAO
  • Be a peer advisor at least twice after your return from exchange study by providing advice and sharing exchange experience to future outbound exchange students

If a student does not fulfill the above obligations, PolyU reserves the right to claw back exchange funding paid.
