21st Congregation

Congratulations on your successful completion of study!

The 21st Congregation of The Hong Kong Polytechnic University for the conferment of academic awards is scheduled to be held from Saturday, 24 October to Saturday, 14 November 2015 on campus at the Jockey Club Auditorium (JCA).

The conferment of Honorary Doctorates, PhDs and Professional Doctorates of all Faculties/Schools will be held at 4:00 pm on Saturday, 14 November 2015. The conferment of all other levels of awards, from sub-degree awards up to Master's Degrees, including MPhil, will be conducted at separate Faculty/School* Conferment Sessions according to the schedule below. Detailed sessional arrangement will be announced in late August 2015.

*School refers to the School of Design and the School of Hotel & Tourism Management

Invitation to the Congregation

Invitation letters from the University will be sent to eligible graduates in early September 2015.

Graduates, except for research graduates, will be required to register their attendance online at the ‘Congregation Booking’ tabpage of eStudent (www.polyu.edu.hk/student). For research graduates of MPhil and PhD, the registration URL can be accessed via http://www.polyu.edu.hk/ro/rograd. For graduates of the BSc in Applied Ageing Studies, the URL will be announced in late August.

Registration will begin from 9:00 am, 2 September 2015. Each graduate will normally be offered 2 guest tickets.

Inclement Weather Arrangements

In case of the likely hoisting of Typhoon Signal No. 8 during the Congregation period, AS and the Faculty/School concerned will decide whether the Conferment Session scheduled on the following day will be cancelled. Announcement on change of date will be posted at AS Homepage (www.polyu.edu.hk/as) and the affected Faculty/School's webpage. Graduates concerned will also be informed about the change via SMS.

Gown Hiring and Returning Arrangements(Special arrangements will be made for graduates of outpost programmes. Graduates will be separately advised of the details by their Faculties/Schools.)

  • Graduates attending the 21st Congregation are required to wear the academic gowns specific to the particular award.
  • Graduates can tailor their own academic gowns following the specified colour and style for the appropriate level of award.
  • Academic gowns are also available for hiring from the vendor of the University.
  • Graduates required to arrange their gown collection before the Congregation, if gown hiring requests have been made. Gowns will not be provided on-site at the PolyU campus during the Congregation.
  • For graduates requiring gown rental services, you are required to complete the online gown reservation procedures at the website of the vendor, i.e. Victoria Uniform (www.victoriauniform.com). Instructions detailed by the vendor should be followed.

B. Gown Hiring Procedures

  1. Complete the online gown reservation procedures at the website of Victoria Uniform (www.victoriauniform.com), if necessary.
  2. At the end of the gown booking procedures, print out the gown rental form in dual copies (one to be kept by yourself and one for presenting to the vendor at the outlet when collecting the gowns).
  3. You should wear the bonnet with the tassel on the left.
  4. Collect the gown at the chosen outlet on the collection date indicated by you on the online booking system.
  • Present the gown rental form in dual copies.
  • Fitting and checking of rental items.
  • Sign the gown rental forms, pay the hiring fee and deposit in CASH (in HK Dollars) only.
      1. C. Gown Return Procedures

        1. Return the gown to the same outlet from where the gown is collected.
        2. Present the graduate’s copy of the gown rental form.
        3. Deposit will be refunded in cash if all items returned are in good conditions.
        4. A fine will be deducted from the deposit if any item is found damaged. Extension fee, if any, will also be deducted from the deposit.

          E. Payment Arrangment

          1. Pay the hiring fee and deposit in CASH in Hong Kong Dollars. All other methods of payment (e.g. by credit card or cheque) and currencies, other than Hong Kong dollars, will not be accepted.
          2. Deposit will be refunded upon return of gowns, after deduction of fines for damages or extension fees, if any, in cash in Hong Kong Dollars only on the spot when you return the gowns to the vendor. Collection and refund of deposit will be subject to the policy of the vendor and be dealt directly between the company and the graduates. Deposit fee is same as the gown purchase price (depending on the level of awards).

            Remarks

            1. Extension fee, if any, will be deducted from the deposit.
            2. For the extension fee, if it is less than 7 days, it will be counted as a 7-day charge, and the maximum extension fee will be limited to the amount of deposit.
            3. The first hiring period is on a 35-day basis, counting from the date of gown collection.
            4. The gowns are also available for purchase at the outlets of the vendor. Gown collection and return should be executed at the same outlet.

              G. Outlets providing Gown Hiring Services for PolyU’s graduates

              1. A list of the outlets of the vendor opened for gown hiring services for PolyU’s graduates is given at Appendix 2.
              2. You are strictly required to collect the gowns at the outlet you have selected. The vendor will NOT rent the gowns to you if you go to outlets which are not previously indicated by you.
              3. PhD/professional doctoral degree graduates are strongly advised to go to 3 designated outlets of Victoria Uniform (namely, Prince Edward, Shatin or Sheung Wan), since staff of Victoria Uniform at these 3 outlets are better trained to assist the gown hiring procedures for graduates at PhD/doctoral levels.

                H. Types of Academic Gowns

                 

                I. How to Put on Your Gown

                 
                For Doctoral Degrees
                1. A light colour shirt will match nicely with your gown.
                2. Put the hood over the gown, rest it on your shoulders, and secure it by putting the string loop at the tip of the hood around a button of your shirt.
                3. Ensure the hood is in a V-shape and slightly opens at the back.
                4. You should wear the bonnet with the tassel on the left.
                 
                For Bachelor's Degrees/Master's Degrees/Postgraduate Awards (PgD/PgC)
                1. A light colour shirt will match nicely with your gown.
                2. Put the hood over the gown, rest it on your shoulders, and secure it by putting the string loop at the tip of the hood around a button of your shirt.
                3. For the graduates of Bachelor's and Master's Degrees, the peak of the mortarboard should be pointing at the centre of your forehead with the tassel on the left.

                Photo-taking Arrangements

                To capture the memorable moments of your graduation, the University will arrange professional photographers to take photographs for graduates during the conferment ceremonies. Graduates can order the photographs from the company afterwards. Details on the photo-ordering arrangements will be available nearer the time of the Congregation.

                About Congregation

                Q: How many guests can each graduate bring to the Congregation?
                A: Each graduate will normally be offered 2 guest tickets. Graduate will be required to register their attendance and the number of guest tickets required online at the 'Congregation Booking’ tabpage of eStudent (www.polyu.edu.hk/student). For research graduates of MPhil and PhD, the registration URL can be accessed via http://www.polyu.edu.hk/ro/rograd Additional guest tickets can be offered only when there are spare seats available.
                 
                Q: Can I take photographs during the Conferment Ceremony?
                A: The University has arranged professional photographers to take photographs during the Conferment Ceremony. To avoid interrupting the process of the ceremony, the audience is not allowed to leave their seats for taking photographs during the Conferment Ceremony.
                 
                Q: Is there a dress code for the graduates attending the Congregation?
                A: The Congregation is a formal occasion. Casual wears like sneakers, flip-flops, jeans are not appropriate for the occasion.
                 
                Q: What will be the language of the Conferment Ceremony?
                A: The Conferment Ceremony will be conducted in English.
                 

                About Academic Gown

                Q: Can I hire the gown for photo-taking only if I cannot attend the Congregation?
                A: 

                Yes, you can perform online gown booking on the website of the vendor ( www.victoriauniform.com). 

                Q: Can I buy my own set of academic gown?
                A: 

                You can make purchase with the vendor. Or you can tailor your own academic gown following the color and style for the appropriate level of award with your own tailor.
