In view of the current pandemic situation, the 27th Congregation will be conducted in a hybrid mode, i.e. graduates can choose to join the Congregation in person or virtually.

For graduates who would like to attend the physical Congregation, they will be presented in person at the Jockey Club Auditorium (JCA) on the PolyU campus.  For those who cannot attend the Congregation in person, they can choose to be presented virtually, which will be done after all graduates attending the physical ceremony have been presented on stage at the JCA.  If graduates have not indicated their attendance option by the registration deadline, they will not be presented at the coming Congregation.

Live broadcasting of the ceremonies via online platforms will also be arranged.  Details regarding the broadcasting arrangements will be posted on this website in due course.

In case the pandemic situation gets worse significantly making it impossible to conduct the face-to-face congregation sessions, arrangements will be made to switch all or the remaining sessions to the virtual mode, which will be held at a later stage.  Graduates will be informed accordingly if the contingency arrangement needs to be put in place.

Graduates are required to indicate their attendance option (please see table below) between 14 and 26 September 2021.

In Person

To join the physical ceremony on campus at the Jockey Club Auditorium in accordance with the sessional arrangement designated for your award.

If you choose this option, please also indicate the number of guest tickets you need when register your attendance option online. Health declaration for all participants shall be made in due course.




To be presented virtually at the Congregation session of your award after all graduates attending the physical ceremony have been presented on stage at the JCA. Your portrait on virtual academic gown, your name and award information will be presented at the ceremony.

If you choose this option, please remember to upload a recent photo of yourself via the "Congregation Booking" tab page under eStudent on or before 10 October 2021.  It is important for you to strictly follow the stipulated guidelines for photo-uploading.  If you fail to upload your photo by the stated deadline or the photo you uploaded does not comply with the stated requirements, no virtual presentation will be arranged for you unless you give consent for the University to use your image kept in the Student Record System concerned.  You will be asked to give your consent when you upload your photo via eStudent.

Re-submission of photo is allowed before the upload deadline.


Not Attend 
You will NOT be presented in the Congregation.


Upon completion of the registration procedures, you will receive a system-generated email acknowledging your indication of attendance via your PolyU email account.  A nil response by the registration deadline will be taken as an indication of NOT attending the ceremony.

Late registration requests for attending the Congregation will not be entertained.



Graduates choosing virtual attendance are required to upload their photos via the “Congregation Booking” tab page at eStudent during 14 September to 10 October 2021.

The portrait in the photo can be with or without academic gown.  If you select to upload your portrait without the gown, a virtual gown specific to your award will be arranged for you.

If you fail to upload your photo by the stated deadline or the photo you uploaded does not comply with the stated requirements, no virtual presentation will be arranged unless you give consent, via the photo-uploading page at eStudent, for the University to use your image kept in the Student Record System concerned for the purpose.

The quality of the portrait for virtual presentation depends very much on the quality and colour of the original portrait you furnish or the one kept in the Student Record System if the latter is to be used.

Please note that the portrait you provide in the online registration system will be used for preparing your virtual presentation at the ceremony.  The portrait, together with your personal data, will be released to, edited and refined by third parties who assist in the organisation of the event such as external vendors, Faculties / Schools and academic departments hosting the events.  All personal data collected from you will only be stored for the duration which is relevant for the purpose of collection, and for as long as required under the applicable ordinance.


Please take note of the following for attending the physical Congregation:

  1. Make sure you have received the e-ticket for yourself and your guest(s) 3 days prior to the date of your Congregation session.  If not, you need to check with the e-ticket agent quickly.
  2. Bring your Student ID card for campus access and arrive at least 45 minutes before the scheduled time since it may take some time for the large number of graduates and guests to enter the campus on the Congregation days.
  3. There will be a briefing about the presentation procedures before the commencement of the ceremony.
  4. Bring your e-ticket with you and wear your set of academic gown to the Congregation.  No gown will be provided onsite on the event day.
  5. Dress properly. The Congregation is a formal occasion.  Casual wear such as sneakers, flip-flops and jeans are considered not appropriate for the occasion.
  6. Wear the correct academic gowns. Graduates without academic gown or the academic gown does not meet the specifications to a particular award will not be presented on stage.  They will also not be arranged to join the group photo session after the Congregation session, if any.

Infection Prevention Measures during the Physical Congregation

In order to maintain public health and avoid any spreading of the virus on campus, graduates and guests are requested to pay attention to the following when joining the physical ceremony on the Congregation days:

  1. Wear facial masks and keep social distancing at all times.
  2. Wash hands or use hand sanitizers frequently to keep you free from the virus.
  3. Measure your body temperature before entering the campus.  Graduates and guests are advised to arrive earlier to avoid a large number of people lining up at the campus / venue entrance.  If graduates and/or guests show any respiratory symptoms, they would not be admitted to the venues and should seek medical advice immediately.
  4. Scan LeaveHomeSafe Mobile App or submit paper form for entering the JCA and the Chiang Chen Studio Theatre (CCST).
  5. No handshaking and photo-taking with procession members on stage during the ceremony is allowed to avoid close body contact.
  6. Eating and drinking are not allowed at the ceremonial and live broadcasting venues.  Moreover, in view of the limited capacity of the catering facilities on campus and in order to avoid the gathering of large crowds at on-campus catering outlets, graduates and their guests are strongly encouraged to make use of off-campus catering facilities on the Congregation days.
  7. Seating for graduates and their guests at the ceremonial venue will be arranged according to the prevailing requirements and policies on social distancing and health precautionary measures.  Graduates’ guests may be invited to view a live broadcast of the ceremony in the designated venues on campus or by other online platforms, if necessary.
  8. Graduates and/or guests who are staying outside Hong Kong and would like to come for the physical graduation ceremony should plan ahead to arrive at Hong Kong prior to the event, and take necessary viral tests and/or undergo quarantine as required by the Government. Photo-taking and Video Recording Arrangements at the Graduation Ceremony

  1. To capture the memorable moments of the graduation ceremonies, the University has arranged professional photographers to take photos for graduates at all the Congregation sessions.  Details on the photo-ordering arrangements will be announced on the AR website in due course.
  2. The University will also arrange video recording of the ceremonies.  The related video clips will be uploaded after the Congregation for graduates’ viewing. Graduates will be informed via email when the video clips are ready.  No downloading of the video clips is allowed.


Arrangements for Faculty / School Sessions

If Typhoon Signal No. 8 or Rainstorm Black Warning or an 'Extreme Condition' announcement issued by the Government is in force at 6.30 am on any of the event days, the Congregation sessions for Faculties and Schools scheduled for that day will be cancelled.  Arrangements will be made to reschedule the affected sessions for any available Sunday in November or for 1 December 2021.  Graduates concerned will be informed of the rescheduled arrangements as soon as possible.

If Typhoon Signal No. 8 is to be hoisted or Rainstorm Black Warning or an 'Extreme Condition' announcement is to be issued on any day during the Congregation period, the Academic Registry and Faculty / School concerned will decide whether the Congregation session(s) to be held that day / on the following day will be cancelled.  Announcement on the re-arrangements will be posted on the AR website, as well as the website of the affected Faculty / School.  Graduates concerned will also be informed of the re-arrangements via SMS.


Arrangements for the Session for Doctor of Philosophy Degree

If Typhoon Signal No. 8 or Black Rainstorm Warning or an 'Extreme Condition' announcement issued by the Government is in force on the morning of 6 November 2021 but is cancelled at or before 10.30 am that day, the Congregation session for the Doctor of Philosophy Degree will be held as scheduled, i.e. at 3.00 pm on 6 November 2021.

If Typhoon Signal No. 8 or Black Rainstorm Warning or an 'Extreme Condition' announcement issued by the Government is still in force after 10.30 am on 6 November 2021, the Congregation session for the Doctor of Philosophy Degree will be rescheduled to be held at 3.00 pm on the following day, i.e. 7 November 2021.

In either case, graduates and guests are advised to obtain the latest update on the Congregation arrangements from the AR website.
