Various events are held on the university campus by different departments everyday, ranging from small-scale events, like setting up some exhibition booths with the display of promotional banners to large-scale events, such as the Education InfoDay which may attract a large number of participants including our staff and students and members of the public.

It is the responsibility of the event organizers, event contractors, Facilities Management Office (FMO) and Health, Safety and Environment Office (HSEO) to ensure the risks throughout the whole course of the event from setting up, operations to clearance are properly managed and mitigated.


Safety Arrangements for Campus Events

If you wish to organize an event on campus, please follow the arrangements below.

  • Read the Health & Safety Guideline for Campus Events of HSEO, Venue Management Manual of FMO and relevant guidelines, and learn the safety requirements and arrangements.
  • Book your venue through the Venue Booking System of FMO.
  • Your application will be reviewed and commented by FMO and HSEO.
  • The event organizer may be required to fill in the Campus Event Risk Assessment Form.  HSEO will review the risk assessment and may provide safety advices or impose safety requirements.
  • If your event involves large-scale venue setup, HSEO will provide safety briefings to the event organizers and the event contractors.
  • It is the responsibility of the event organizer to provide proper monitoring throughout the course of the event and associated works by their event contractor to ensure that the requirements stated in the Guideline and the Risk Assessment Form are strictly followed.
  • FMO and HSEO may perform safety check at various stages of an event and may request for rectification of unsafe conditions or behavior.
  • FMO and HSEO may review the safety performance with the event organizer after the conduct of the event.
