Service Type Service Standard
(i) Placement of local recruitment advertisement
For local printed advertisement:
  • On Friday/Saturday (except public holidays) if draft advertisement from department is received by 12:00 noon on Monday of the same week
For local online advertisement:
  • Request from department will be processed within 3 working days

  • Confirmed advertisement will be posted on web / sent to the advertisement service provider within 1 working day

Note: The above timeframe for placing advertisement may be varied upon request by departments.

(ii)
Submit documents for seeking approval for new appointment (excluding those employed on temporary terms) to the approving authority, upon receipt of all relevant documents

Within 3 working days
(iii)
Issue letter of appointment to new appointee, upon receipt of approval, funding confirmation and other relevant documents including acceptance of verbal/email offer by the appointee
For Non-academic staff at Band 1 to Band 6 remunerated under New Terms*:
  • Within 3 working days
For Academic/Teaching/Clinical staff and Non-academic staff at Band 7 to Band 10 remunerated under New Terms* (excluding Chair Professor and Head of Department levels):
  • Within 4 working days
(iv)
Confirm appointment with appointee upon receipt of confirmation of satisfactory reference(s)

Within 2 working days
(v)
Issue letter of re-engagement to serving staff, upon receipt of approval and funding confirmation

Note: For Academic/Teaching/Clinical staff, such service will be processed according to the schedule of the relevant annual exercise.
For Non-academic staff at Band 1 to Band 6 remunerated under New Terms* & equivalent staff:
  • Within 3 working days
For Non-academic staff at Band 7 to Band 10 remunerated under New Terms* & equivalent staff (excluding Head of Department level):
  • Within 4 working days
(vi)
Issue Staff ID card for staff upon receipt of all necessary supporting documents, e.g. HR Form 45, assumption slip, etc.

Within 2 working days
(vii)
Issue certification of service letter to serving staff (for purposes in relation to work visa application or approved leave, etc.)

Within 3 working days
(viii)
Issue end of service letter to staff on resignation upon receipt of relevant information from Head of Department, e.g. endorsement of last day of service, confirmation of leave arrangement, etc.
For Academic/Teaching/Clinical staff and Non-academic staff at Band 1 to Band 10 remunerated under New Terms* & equivalent staff (excluding Chair Professor and Head of Department levels):
  • Within 5 working days

* Staff members remunerated under New Terms are those remunerated under the "Compensation and Benefit Model for Staff Members remunerated under New Terms".
