23rd Congregation

Congratulations on your successful completion of study!

 

The 23rd Congregation of The Hong Kong Polytechnic University for the conferment of academic awards is scheduled to be held from Saturday, 21 October to Saturday, 11 November 2017 on campus at the Jockey Club Auditorium (JCA).

 

The conferment of Honorary Doctorates, PhDs and Professional Doctorates of all Faculties/Schools will be held at 3:00 pm on Saturday, 21 October 2017.  The conferment of all other levels of awards, from sub-degree awards up to Master's Degrees, including MPhil, will be conducted at separate Faculty/School* Conferment Sessions according to the schedule below.  Detailed sessional arrangement will be announced from mid-August 2017.

 

*School refers to the School of Design and the School of Hotel & Tourism Management

Invitation to the Congregation

Invitation letters from the University will be sent to eligible graduates around mid-August/early September 2017.

 

Graduates, except for research graduates, will be required to register their attendance online at the ‘Congregation Booking’ tabpage of eStudent (www.polyu.edu.hk/student). For research graduates of MPhil and PhD, the registration URL can be accessed via https://www.polyu.edu.hk/ro/rograd.  For graduates of PolyU award programmes administered by School of Professional Education and Executive Development (SPEED), the registration URL is https://www40.polyu.edu.hk/cpce_grad/.

 

Attendance Registration

Attendance at Congregation requires prior registration. If you wish to attend the Congregation, registration is required to be made via the online registration system during the online booking period as stipulated stated in the invitation.  Upon completion of registration procedures, a system-generated email acknowledging your indication of attendance will be sent to your PolyU email account.  Each graduate will normally be offered 2 guest tickets.

Inclement Weather Arrangements

If Typhoon Signal No. 8 or Rainstorm Black Warning is in force at 6:30 am on any of the dates from 24 October to 11 November 2017, the Conferment Sessions scheduled on the affected date will be cancelled and postponed to Sunday, 12 November 2017.

 

In the face of possible hoisting of Typhoon Signal No. 8 during the Congregation period, AS and the Faculty/School concerned will discuss and decide whether the Conferment Session scheduled on the following day/session(s) will be cancelled.  Announcement on change of date will be posted at the AS Homepage and the webpage of the Faculty/School affected.  Graduates concerned will also be informed via SMS of the change.

 

Gown Hiring and Returning Arrangements

(Special arrangements will be made for graduates of outpost programmes.  Graduates will be separately advised of the details by their Faculties/Schools.) 

  • Graduates attending the 23rd Congregation are required to wear the academic gowns specific to the particular award.
  • To ensure that graduates use the correct sets of gowns, academic gowns are available for hiring from the vendor of the University.
  • Graduates are required to arrange their gown collection before the Congregation, if gown hiring requests have been made. Gowns will not be provided on-site at the PolyU campus during the Congregation.
  • For graduates requiring gown rental services, you are required to complete the online gown reservation procedures at the website of the vendor, i.e. Victoria Uniform (www.victoriauniform.com).   Instructions detailed by the vendor should be followed.

B.  Gown Hiring Procedures

    1. Complete the online gown reservation procedures at the website of Victoria Uniform (www.victoriauniform.com).
    2. You are required to input a specific code when performing online gown rental.  The code will be provided in the letter inviting you to the congregation.
    3. Print the ‘Gown Information Sheet’ (with information on colour of gown, colour of hood, if applicable, and types of cap, if applicable and photo image of the gown specific to your award) retrievable from the online booking website of PolyU.  A pair of clips for holding the hoods properly on the gown will be given to graduates free of charge with the gown (Graduates of Higher Diploma will not be given a pair of clips as no hoods are included in their gown sets).  Video demonstrating the use of clips is provided on the website of Victoria Uniform.
    4. At the end of the gown booking procedures, print out the gown rental form in dual copies (one form will then be kept by yourself and the other will be kept by the vendor for record).
    5. Collection at outlets of Victoria Uniform

Collect the gown at the chosen outlet on the collection date indicated by you on the online booking system.

  • Present the gown rental form in dual copies.
  • Present the ‘Gown Information Sheet’ (electronic version is also acceptable in case the graduate cannot produce the printout) to Victoria Uniform to ensure that you collect the correct set of gowns.
  • Fitting and checking.
  • Sign the gown rental forms, pay the hiring fee and deposit in CASH (in HK Dollars) only.

 6. Courier delivery of gown

Graduates are given additional options to:

  • have the gowns delivered to their office at selected Hong Kong and Kowloon business areas, or
  • pick up the gowns at designated redemption centres or lockers.

Payment is required to be made (including the courier service fee, gown hiring fee, and the deposit) prior to the delivery. For details, please refer to the website Victoria Uniform.

                                                                                  

C. Gown Return Procedures

  • Return the gown to the same outlet from where the gown is collected / the outlet selected in the online gown reservation for courier delivery.
  • Present the graduate’s copy of the gown rental form.
  • Deposit will be refunded in cash if all items returned are in good conditions.
  • A fine will be deducted from the deposit if any item is found damaged. Extension fee, if any, will also be deducted from the deposit.

 

D. Schedule of Online booking & hiring period of gowns

Gown hiring period 35 calendar days, counting from the date of gown collection.

 

E. Payment Arrangement

    1. Pay the hiring fee and deposit in CASH in Hong Kong Dollars.  All other methods of payment (e.g. by credit card or cheque) and currencies, other than Hong Kong dollars, will not be accepted.
    2. Deposit will be refunded upon return of gowns, after deduction of fines for damages or extension fees, if any, in cash in Hong Kong Dollars only on the spot when you return the gowns to the vendor.  Collection and refund of deposit will be subject to the policy of the vendor and be dealt directly between the company and the graduates.  Deposit fee is same as the gown purchase price (depending on the level of awards).

Remarks

    1. Extension fee, if any, will be deducted from the deposit.
    2. For the extension fee, if it is less than 7 days, it will be counted as a 7-day charge, and the maximum extension fee will be limited to the amount of deposit.
    3. The first hiring period is on a 35-day basis, counting from the date of gown collection.
    4. The gowns are also available for purchase at the outlets of the vendor.  Gown collection and return should be executed at the same outlet.

 

G. Outlets providing Gown Hiring Services for PolyU’s graduates

    1. A list of the outlets of the vendor opened for gown hiring services for PolyU’s graduates is given.
    2. You are strictly required to collect the gowns at the outlet you have selected.  The vendor will NOT rent the gowns to you if you go to outlets which are not previously indicated by you.
    3. PhD/professional doctoral degree graduates are strongly advised to go to 3 designated outlets of Victoria Uniform (namely Choi Hung, Shatin or Sheung Wan), since staff of Victoria Uniform at these 3 outlets are better trained to assist the gown hiring procedures for graduates at PhD/doctoral levels.
    4. Longer queuing time for gown hiring will normally be required if you go on weekday evenings. You are strongly advised to go to the outlets of Victoria Uniform on Sundays.

I. How to Put on Your Gown

For Doctoral Degrees

    1. A light colour shirt will match nicely with your gown.
    2. Put the hood over the gown, rest it on your shoulders, and secure it by putting the string loop at the tip of the hood around a button of your shirt.
    3. Ensure the hood is in a V-shape and slightly opens at the back.
    4. You should wear the bonnet with the tassel on the left.

 

For Bachelor's Degrees/Master's Degrees/Postgraduate Awards (PgD/PgC)

    1. A light colour shirt will match nicely with your gown.
    2. Put the hood over the gown, rest it on your shoulders, and secure it by putting the string loop at the tip of the hood around a button of your shirt.
    3. For the graduates of Bachelor's and Master's Degrees, the peak of the mortarboard should be pointing at the centre of your forehead with the tassel on the left.

Photo-taking Arrangements

To capture the memorable moments of your graduation, the University has arranged for professional photographers (GFoto Limited) to take photographs for graduates during the conferment ceremonies. Graduates can order the photographs from the company website at www.gfoto.hk/orderphoto from 18 December 2017 to 30 April 2018. The cost of the photo-ordering package is:

Video Recording

The University will arrange video recording of the conferment ceremonies of faculties/schools.  The related video clips will be uploaded on this webpage around 1 to 2 months after the Congregation, i.e. late December 2017/January 2018, for graduates’ and for public viewing.  No downloading of the video clips is allowed and the online video will be removed around 6 months after the Congregation. 

 

Important Notes in attending the Congregation

  1. Be punctual. There will be a briefing about the conferment procedures before the commencement of the ceremony.
  2. Bring your admission tickets with you and wear your set of gown to the Congregation.  No gown will be provided onsite on the event day.
  3. Dress properly.  The Congregation is a formal occasion. Casual wears such as sneakers, flip-flops and jeans are considered not appropriate for the occasion.

Q:  How many guests can each graduate bring to the Congregation?
A:  Each graduate will normally be offered 2 guest tickets. Graduate will be required to register their attendance and the number of guest tickets required online at the ‘Congregation Booking’ tabpage of eStudent (www.polyu.edu.hk/student).  For research graduates of MPhil and PhD, the registration URL can be accessed via https://www.polyu.edu.hk/ro/rograd. Q:  Can I take photographs during the Conferment Ceremony?
A:  The University has arranged professional photographers to take photographs during the Conferment Ceremony. To avoid interrupting the process of the ceremony, the audience is not allowed to leave their seats for taking photographs during the Conferment Ceremony.

 

About Academic Gown

Q:  Can I hire the gown for photo-taking only if I cannot attend the Congregation?
A:  Yes, you can perform online gown booking on the website of the vendor (www.victoriauniform.com).
   
Q:  Can I buy my own set of academic gown?
A:  You can make purchase with the vendor.  Or you can tailor make your own academic gown following the color and style for the appropriate level of award with your own tailor.
   
Q. How can I know the correct type of gown for my award?
A. You can check the details by retrieving the ‘Gown Information Sheet’ via the online registration system. Information on colour of gown, colour of hood, if applicable, and types of cap (if applicable) and a photo image will be provided on the sheet.
