About Congregation

 

For graduates choosing to join the physical ceremony, two guest tickets will be provided, if they so choose.  Graduate will be required to register their physical attendance and the number of guest tickets required online at the ‘Congregation Booking’ tab page of eStudent (www.polyu.edu.hk/student).

For MPhil and PhD graduates admitted in or before 2017/18, the registration URL can be accessed via https://www40.polyu.edu.hk/rogradupd/.

Graduates of PolyU award programmes administered by the School of Professional Education and Executive Development (SPEED) should register via https://www.cpce-polyu.edu.hk/fp/grad/.

Additional guest tickets can be offered only when there are spare seats available.

 

 

 

Graduates and their guests are required to present their admission e-tickets for entering the Congregation venue.

For campus entry, graduates can use their Student ID card while guests should use the same QR code displayed on their e-tickets to enter the campus.

Please note that each e-ticket is for admission of one registered person only, and children under 6 years old will not be admitted to the Congregation venues.

 

 

 

The University has arranged professional photographers to take photos for graduates at the physical ceremony.  To avoid interrupting the process of the ceremony, the audience is not allowed to leave their seats for taking photographs during the ceremony.

 

 

 

Attendance of the Congregation ceremony or otherwise does not affect your graduation status.  You can choose not to attend the Congregation.

No.  Graduates and their guests will have their seats in different zones. In view of the limited seating capacity of the Congregation venue (i.e. Jockey Club Auditorium) and the need for the University to comply with the social distancing measures as laid down by the Government, it is possible that guests will be invited to view the live broadcast in the Chiang Chen Studio Theatre.

 

 

About Academic Gown

 

Yes, you can perform online gown booking on the website of the vendor (www.victoriauniform.com).

 

 

 

Yes, you can make purchase with the vendor.  Alternatively, you can tailor make your own academic gown following the colour and style for the appropriate award with your own tailor.

 

 

 

You can check the details by retrieving the ‘Gown Information Sheet’ from the PolyU Congregation System at eStudent.  Information on the colour of the gown, hood and cap (if applicable) and a photo image will be provided. The sheet can be retrieved from the ‘Congregation’ tab page of eStudent (www.polyu.edu.hk/student).

About Uploading of Portrait for Virtual Presentation

Yes, you may upload a portrait of yourself with or without the academic gown.  If you select to upload your portrait without a gown, a virtual gown specific to your award will be arranged for you.

 

 

 

The portrait should show your full frontal face with clear facial features in plain background and with sufficient headroom. Please click here for details of the photo requirements and the samples of portraits that are acceptable for virtual presentation at the ceremony.

 

 

 

It would not be possible for you to upload the photo via the system after the deadline.  Please contact the Academic Registry by email at ar.congregation@polyu.edu.hk for separate arrangements.

 

 

 

For graduates who have opted for virtual attendance, they will be presented virtually after all graduates attending the physical ceremony have been presented on stage at the Jockey Club Auditorium.

 

 

About Campus Access

 

Yes, arrangements have been made to extend the validity of the Student ID cards of all 2020/21 graduates to enable them to participate in the physical Congregation and for on-campus photo taking.  You can continue to enter the campus using your Student ID card until 12 December 2021.

 

 

 

You can approach the Information Counter at the University entrance for assistance upon arrival.  Upon verifying your identity with your student number and your completion of health declaration, campus access will be granted.

 

 

 

Yes, you may invite a maximum of 9 guests for on-campus photo taking during the period of 19 October to 1 December (except 23 & 24 October and 25 November) and on 5 & 12 December 2021, either in the morning (i.e. AM session: 0800 to 1300) or in the afternoon (i.e. PM session: 1300 to 1800).  You may choose to bring all your guests on the same day or on different days, subject to the maximum quota of 9.  Please visit https://www.polyu.edu.hk/graduandaccess to register for QR codes for campus access for your guests.  You will receive a confirmation email upon successful registration.  Please refer to the AR Congregation website for details.

 

 

 

Yes, PolyU alumni are welcome to visit their alma mater.  You can present your “PolyU Alumni eCard” or “Federation of PolyU Alumni Associations Card” or “PolyU VISA Card” at the campus entrance for access registration.  Alternatively, you can contact the Alumni Affairs and Development Office at 2766 4117 or alumni@polyu.edu.hk in advance for support.

 

 

 

Yes, if any changes are required, the previous registration has to be cancelled and re-registration needs to be done.  All cancellation requests should be submitted 5 calendar days before the registered visit via the registration website.
