Reminder – Software Asset Management (SAM) Exercise 2013/14


As previously communicated, a new round of SAM exercise was kicked-off in November 2013 and flexibility has been provided for departments/offices to conduct and complete the SAM exercise any time before 31 October 2014.

All colleagues who 'own' a University PC/notebook or 'oversee' laboratories are reminded to conduct scanning on your responsible machines at least once before 31 October 2014, by accessing the SAM System via the PolyU SAM Website ( Please note that scanning should be conducted on each operating system installed on your PCs/notebooks as well as each virtual machine hosted on the computers.

After scanning, each software item installed on the PCs/notebooks will be classified into one of the following categories:

PolyU Site License  Software licensed centrally by PolyU through ITS
Departmental License Software provided to you by your department
Utilities License Software tools that are bundled with the hardware provided to you by your department
Personal License Software licenses you own
Shareware License Software licensed to you under a condition
Freeware License  Software that you can use for free
Unclassified Items Software that cannot be classified as any of the above

Please review each category and re-classify any software item as you see appropriate. Do provide a remark in the space provided to clarify the re-classification. Please note that you must resolve all unclassified/unlicensed software items found in your PCs/ notebooks.
