Upgrade of LEARN@PolyU and the implementation of archiving policy 22-07-2017 to 23-07-2017 21:30-16:00 HKT

Downtime
The scheduled upgrade period is planned to be for the period: 21:30 on 22nd July 2017 to 16:00 on 23rd July 2017 HKT. During the upgrade, the LEARN@PolyU (理學網) service will not be available.

Upgrade
Blackboard Learn 9.1 Q4 2016 includes multiple new and enhanced features, improved workflows, and technology updates, including improved mobile theme, Dropbox integration, course activity reports and much more.
Workshops covering the details of the changes will be offered in August and September, 2017. Announcements about workshops will be released via EDC website in due course.

Information about the copyright law
The Intellectual Property Department of the Government of Hong Kong Special Administrative Region issued a booklet -- Copyright in Education in Hong Kong – which specifies that any work should only be stored on a platform that requires authentication for a period of time which is just long enough for the intended teaching or learning purpose. The maximum allowed period is 12 months. In order to comply with the copyright law, the University has decided to adopt an archiving model allowing teachers and students access to their Blackboard course materials for up to one academic year (12 months).

Automatic Archiving Process
Taking active measures to facilitate compliance and prevent copyright infringement, an automatic archiving process will be implemented in LEARN@PolyU (理學網) at the end of each semester.

  • All courses being taught will remain on the system for one academic year and then will be automatically archived and stored in an on-premise storage system.
  • All data and materials in these archived courses will be inaccessible on the first day of the subsequent semester e.g. on the first day of Semester 2 of 2017/18, the courses that were taught in the Semester 2 of 2016/17 academic year will become inaccessible.
  • The archives will be kept in the storage system for 5 academic years.
  • There will be a service for course instructors who wish to restore archives by sending an enquiry (with Course ID and retention period) to the ITS Help Centre. The specific course will be restored in a separate system for the instructor to retrieve data in the course.
  • As the restoration process takes time, the best practice to maintain access to materials in the courses is to keep an archive yourself.
  • Non-teaching related courses such as Sandbox courses will not be included in the archiving process.

Guidelines on how to export course is available here. Workshops will also be conducted to provide training for teachers – for which you can register here.
Should you have any enquiries about the upgrade or the archiving policy, please contact ITS Help Centre at 2766 5900 for assistance.

Thank you very much for your attention.
