Upon the successful completion of your study at the University, you will be conferred with the appropriate academic award at the University's Congregation ceremony, usually held in October/November of each year.

Academic award parchments will normally be available for collection in November / December each year after the Congregation. You will be notified of the exact dates in the letter inviting you to the Congregation. The date of conferment printed on the award parchments is the date of the Congregation.

With effect from November 2011, award parchments will be issued to research students twice a year, instead of only once after the Congregation. Students who have completed all their degree requirements and whose awards are approved by the Research Committee (RC) at its meetings after the Congregation up to the RC meeting held immediately before the "Semester 2 overall examination results finalised", as stated in the Academic Calendar will be eligible to receive their award parchments earlier. The date of conferment to be printed on the award parchments will be the date of the "Semester 2 overall examination results finalised". Graduates concerned will be informed of the exact dates for parchment collection.

If you are unable to come in person to collect the parchment, you may authorise another person in writing to collect it on your behalf. A copy of your HKID Card (or Passport for those who do not possess a HKID Card) and student identity card must be attached to your authorisation letter. The copy of your HKID Card / Passport will be returned to the authorised person after verification.

The University is not responsible for the safe custody of any uncollected parchments after the stipulated collection period. Uncollected parchments may be destroyed after the stipulated collection period. It is therefore your responsibility to collect the parchment according to the published dates.

The University will not, under any circumstances, issue a duplicate or replacement copy of the academic award parchments.
