Launching of Mailing List Management System


To facilitate departments in sending broad-based messages to staff, students or external recipients in an efficient and effective way, the Mailing List Management (MLM) system will be launched on 1 August 2013. 

The MLM system is the recommended platform for departments to send mass messages as it enables departmental authorized users to conveniently manage their mailing lists and, as required by the Unsolicited Electronic Messages Ordinance (UEMO), the un-subscribed opt-out lists. It also provides different types of statistical report and analyses information.

A briefing session highlighting the major features of the MLM system has been arranged with details as below:

Nomination of Authorized Users

Invitation will be sent to Heads of Department/Office/Centre/Unit for nomination of authorized users of the MLM system. Hands-on training workshops will be arranged shortly for the authorized users to familiarize them with the various features of the new system.

Latest Electronic Messaging Usage Policy and Guides


The Personal Data (Privacy) (Amendment) Ordinance 2012 introduces various amendments to the Personal Data (Privacy) Ordinance to enhance the protection of personal data privacy of individuals. The Unsolicited Electronic Messages Ordinance (UEMO) has also been renewed recently to regulate the sending of unsolicited electronic messages.

In line with the various amendments that have been introduced and the launch of the Mailing List Management System, the University’s Electronic Messaging Usage Policy and Guides have been duly updated, to ensure that the handling of personal data and sending of unsolicited electronic messages at the University will comply with the legal requirements of the ordinances.

Users are reminded to abide by the latest policy and guides below when sending electronic messages using the University’s email facilities:
