PolyU IAM Implementation Project Progress Update

The implementation of the Identity & Access Management (IAM)  project is being carried out by phase, with  Phase 1 covering  PolyU’s IAM Infrastructure (with the code name of ‘PUsecure’) and  Single Sign-On (PUsecure-SSO) service to be applied to two pilot systems: Intranet Web Server (www2) and University Portal (myPolyU) just completed in July 2010.

PUsecure-SSO service will be launched on 2 August 2010 with www2 as the 1st PUsecure-SSO-enabled application, to be followed by  myPolyU as  the next one after the new Portal is launched later this year.

The launch will not cause any service interruption to users.  However, there will be changes in user experience when  accessing to www2:

  • You will be authenticated by PUsecure-SSO instead of www2 and the login window will be changed as below:

  • Once you have logged in to a PUsecure-SSO-enabled application (e.g. www2), you can access other PUsecure-SSO-enabled applications without additional logon.
  • Please be reminded to click the ‘Logout PUsecure’ button in the 'Logout PUsecure-SSO' window to close all connections with www2 and PUsecure-SSO after use, and close all web browser windows before you leave.  Otherwise, other users would be able to access the PUsecure-SSO applications /systems on the same computer using your identity.

  • A new Login Security Policy will be enforced in PUsecure:

    • Intruder detection will be enabled.

    • PUsecure will lock a user’s account for 15 minutes upon 5 consecutive incorrect login attempts to the account.  After then, the user may retry logging into the account again.

    • The intruder attempt counter will be reset 30 minutes after the last incorrect login attempt or immediately after the account is locked.

Users who have not changed their NetPasswords for over 10 years cannot access PUsecure-SSO-enabled applications.  They must change their NetPasswords before the launch.  If you are one of these users, you should have already received a notification e-mail from ITS about this.

Please refer to the PUsecure-SSO User Guide for more details.

You may also click here for more information relating to IAM implementation at PolyU.

We will update you on the progress of the project in future issues.

Must-know Tips Against Spyware Infection

Spyware is any software that secretly gathers information about a user's online activities without his / her permission, usually for advertisement purposes. Once installed, the spyware monitors the user's activities and can gather information like e-mail addresses, passwords and even credit card numbers.

Spyware transmits the gathered information to someone else who will then use the information to deliver advertisements, hack into personal accounts or computer facilities, and even make business transactions on your behalf.

Here are some must-know tips to minimize the risk of spyware infection:

Do not download or install software from untrustworthy/ unknown sources - Illegal software or even freeware or shareware downloaded from the Internet may have been modified to carry spyware.

Stay away from suspicious websites, especially those running promotional campaigns and asking you to provide / update your personal information.

Be especially wary of e-mails and attachments from someone you don’t know.

Be careful with Internet links provided in e-mail, especially spam mails - Even if you think the link is trustworthy, it's better to open your Internet browser and type the link yourself instead of just clicking on the link provided.

Be careful with banner ads - Spyware may have been unknowingly downloaded onto your computer when you click on the banner ads on websites.

Read the software licence agreement carefully before installing any freeware or shareware.

Keep your operating system and anti-virus software up-to-date - Always turn on the automatic update feature of Windows and the anti-virus software.

Protect your computer with firewall - Always turn on the Windows Firewall or any other personal firewall installed on your machine.

Always enable the browser's 'Pop-up blocker'.

Close browser and pop-up Windows using the 'X’ at the top right hand corner Don’t simply click the other buttons provided in the web page, such as 'Close', 'OK', or 'Exit'. Remember to logout any logged-in services before closing the browser windows.

Avoid using peer-to-peer software - One common way of spyware infection is through peer-to-peer software. If possible, avoid using any peer-to-peer or file sharing network software.

Reboot the machine before using any public computer, if possible.

Support Service Plus (a service based on service level agreements)

In the recent CLO meeting on 14 June 2010, ITS introduced  a support service based on a service level agreement, a new initiative to provide IT support beyond the standard provision.  A number of departments have expressed their interests in this new initiative.  We would like to provide further details regarding this service:

'Support Service Plus' allows a department to secure specialized IT service to meet their explicit IT needs which is above and beyond what is available using the normal support services.
The support provided by this mechanism is in addition to the normal levels of support given by ITS, hence it is named 'Support Service Plus'.
'Support Service Plus’ allows a department to enter into a service level agreement with ITS to provide an agreed quota of support by an ITS employed staff member.  The quota will typically be 20 or more hours of work per week on average.  The charges of the service will be based on the quota amount allocated to the department.
The ITS staff member will work locally in the department and may be given accommodation in the department, that is entirely up to the preference of the department. However, they will be employed and managed by ITS and they will be part of the ITS support teams.
The work schedule of the staff member is planned in conjunction with the department and ITS and the time used will be tracked and accounted for.

There will be a regular work scheduling meeting [monthly, bi-monthly or quarterly] to allow  planning for the next reporting period,  at which time the usage of the allocated time is reviewed and the priorities for the next period are identified.  ITS will provide the reporting and planning templates to facilitate the work scheduling meeting.

What it is NOT:

'Support Service Plus' is NOT a charge for individual services nor a project charge mechanism.  There will not be an 'activity' charge for  'Support Service Plus'.  People will not be charged by the 'job' or 'activity'.

Support Service Plus is ideal when a department wants an ongoing level of support over a long period of time.

If your department is interested to engage 'Support Service Plus', please contact Mr. Taurus Yuen at Ext. 5501 / ittaurus@inet.polyu.edu.hk

Reminder: Regular Changing of NetPassword

For security reasons, all users are reminded to change your NetPassword on a regular basis, preferably once every 3 months.

Based on our records, a number of staff users have not changed their NetPassword for more than 10 years. In order to protect the individuals’ as well as the University’s data security, e-mails have been sent to these users, reminding them to change their NetPassword no later than 1 August 2010.

If you are one of them, please change your NetPassword as soon as possible because if you fail to do so, you will not be able to access the systems /applications protected by PUsecure, PolyU’s new Identity and Access Management Infrastructure which will be launched on 2 August 2010.

The first system /application which will be protected by PUsecure is the Intranet Web Server (www2). Other systems /applications including the University Portal will be integrated into PUsecure by phase.

Before changing your NetPassword, please carefully read the User Guide for the correct procedures of changing the NetPassword and also other related local passwords on your PC.

PolyU-HARNET Network Connection Upgraded to 10Gbps

As announced earlier via e-mail and the University Portal, the optical PolyU-HARNET (Hong Kong Academic & Research Network) network connection had been successfully upgraded from 1Gbps to 10Gbps on 9 July 2010.

This new multi-ring topology allows higher fault tolerance capability and provides greater flexibility for connection to new nodes. Most importantly, it enables PolyU users to enjoy faster connection when working on collaboration projects with other JUCC (Joint Universities Computer Centre) member institutions, viz. all UGC-funded tertiary institutions.

Installation of NOD32 Anti-virus Software

As communicated in our last issue, NOD32 will replace McAfee, the existing campus-wise anti-virus program which will soon expire at the end of August 2010, to be deployed on all campus PCs for the coming 3 years.

All staff users are required to remove McAfee and install NOD32 before the end of August.  To facilitate a smooth migration to the new anti-virus program, a utility has been developed for users to remove McAfee and install NOD32 with customized configuration. The process will take less than 10 minutes and one reboot.

Please download the utility with your NetID and NetPassword here.

Simply save the utility onto your PC, double click the saved file and the program will start to run automatically.

If you encounter any problems or need assistance in installing the NOD32 anti-virus software, please contact the ITS Help Centre at Ext. 5900.
